Calendar Competition – Privacy Notice to Parents / Guardians
The information we collect and what we use it for
We use your child’s name, age and school name to enter them into the Calendar Competition, to contact you and your child’s school if their entry is selected as a winner or a runner up and to display on their artwork if their entry is successful. We obtain this information from the Calendar Competition entry form completed by you.
We may also use your child’s name, and age and school name for the purposes of promoting the Calendar Competition (e.g. by displaying these details on their artwork), in an exhibition of artwork and in marketing materials generally.
We do this on the basis that we have a legitimate interest in using your child’s details in this way if they enter the Calendar Competition to enable their entry to be judged in the appropriate age category, to allow us to contact winners and runners up, to display their details on the calendar and to promote the Calendar Competition.
If you have concerns about the use of your child’s name, age and school for the publicity purposes described above, please contact us on 0113 283 2500 or by email on Data.Protection@walkermorris.co.uk. Where necessary we are able to anonymise your child’s personal information.
Safeguarding and retention
In order to safeguard your child’s data we only collect the minimum amount necessary to enter them into the Calendar Competition, to judge their entry and to contact them and their school if they are a winner or runner up. We implement extensive information security measures to safeguard the information that we hold.
We retain the information we collect for one year after the winners for the relevant year have been announced. Please note that, as detailed below, we send out copies of our calendar to employees and clients of our firm and the general public and artwork containing your child’s details may be on display longer than this.
Who we share information with
We offer copies of our calendar for sale to Walker Morris staff, clients of our firm, and the general public with the proceeds going to Martin House Hospice. If your child is a winner or runner up, your child’s name, age and school at the time they created their work will be shared with these third parties and may be posted on our website and in local media. We may also share information with third parties if we come under a legal obligation to do so.
Your rights and complaints
You have the right to:
- access the information we hold about your child;
- ask us to update the details we have been provided with to ensure they are accurate;
- request that we stop, or restrict our processing of, or delete your child’s personal information or, in certain circumstances, transfer your child’s personal information to a third party.
